Black Pines Life LLC (“Black Pines,” “we,” “us,” or “our”) runs a transitional living and mentorship program for young men. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have.
It applies to our website, the Black Pines app, our email and text messaging, and any other online service that links to this policy (together, the “Services”). By using the Services, you agree to this policy. If you do not agree, please do not use the Services.
1. Who This Policy Covers
Students: people who are applying to or enrolled in the program. All students are 18 or older.
Parents and emergency contacts: people a student has named, or who contact us on a student’s behalf.
Visitors and partners: website visitors, prospective families, newsletter subscribers, and professionals who refer students to us.
This policy does not cover employment records for our staff.
2. Information We Collect
Information you give us.
Contact details, such as name, email address, phone number, and mailing address.
Enrollment and application information, such as date of birth, emergency contacts, goals, background you choose to share, and documents needed for admission.
Program information, such as coaching notes, goals and focus items, phase and pillar progress, badge records, course completion, attendance, and employment and education information.
Billing information related to program fees.
Messages you send us through the app, email, text, forms, or phone.
Information collected automatically. When you use the Services, we may collect device type, operating system, browser, IP address, log data, and the pages and features you use. We may also collect approximate location based on your IP address.
Information from others. We may receive information about a student from parents, emergency contacts, referring professionals, educational consultants, or prior programs and providers, but only where the student has authorized it or the law allows it.
Sensitive information. Some information you share with us may be sensitive, such as information about health, education, employment, or past experiences. We collect it only when it is needed to run the program safely and support the student, or when you choose to share it. Black Pines is not a treatment or healthcare provider. Please do not send sensitive information by text message.
Information about other people. If you give us information about another person, such as an emergency contact, you confirm that you have permission to do so.
3. How We Use Information
To run the program, including housing, coaching, scheduling, and student support.
To track progress through phases, pillars, and badges.
To communicate with you, including reminders, updates, and replies to your questions.
To keep students, staff, and the house safe.
To operate, secure, troubleshoot, and improve the Services.
To send newsletters and program updates to parents, families, and partners who have subscribed. You can unsubscribe at any time.
To meet legal obligations and enforce our agreements.
We do not sell personal information. We do not share it for third-party advertising.
4. Text Messaging (SMS) Program
Some features of the Black Pines app work together with text messaging. Text messaging is optional. Here is how it works.
You opt in. We send text messages only to people who have chosen to receive them. You can opt in by checking an unchecked consent box in the app or on a Black Pines form, by texting a keyword to our program number, or by signing a written consent form. We record when and how you opted in.
It is never required. Agreeing to receive texts is not a condition of enrolling, using the Services, or taking part in the program.
What we send. Texts may include coaching and appointment reminders, schedule changes, house and program notices, progress notifications from the app, and replies to messages you send us. Parents and emergency contacts who opt in separately may receive program updates that the student has authorized.
Frequency and cost. Message frequency varies. Message and data rates may apply.
How to opt out. Reply STOP to any text at any time. You will get one confirmation message, and then we will stop texting you. Reply HELP for help, or contact us using the details at the end of this policy. Opting out of texts does not end your enrollment or your access to the app.
How we handle mobile information. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties. We do share information with service providers that help us deliver messages, but only so they can send messages on our behalf.
Not for emergencies. Texts are not monitored around the clock. In an emergency, call 911. If you or someone you know is in crisis, call or text 988.

5. How We Share Information
We share personal information only as described here.
Service providers. We use outside companies for things like hosting, email, text message delivery, online learning, lease and billing tools, and analytics. They may use the information only to provide services to us.
Parents and emergency contacts. Because students are adults, we share a student’s information with a parent or emergency contact only as the student has authorized, in writing or in the app, or when it is needed in an emergency or safety situation. A student can change what is shared by telling us.
Referral partners and other professionals. We share information with educational consultants, referring programs, or other professionals only with the student’s authorization.
Property owner. We share only what is needed to manage housing at the house with the property owner or manager.
Legal and safety reasons. We may disclose information when required by law or legal process, to protect someone’s safety, or to enforce our agreements.
Business changes. If Black Pines is involved in a merger, sale, or similar transaction, information may transfer as part of that transaction.
With your consent. We share information in other ways when you tell us to.
6. Cookies and Analytics
We use cookies and similar tools to keep you signed in, remember your settings, and understand how the Services are used. You can control cookies in your browser settings. Turning them off may limit some features.
7. How Long We Keep Information
We keep personal information for as long as we need it to run the program, meet legal, tax, and accounting requirements, and resolve disputes. When we no longer need it, we delete it or remove identifying details. We keep text message consent records for as long as the law requires or as needed to show that consent was given.
8. Security
We use reasonable administrative, technical, and physical safeguards to protect personal information, including limiting access to staff who need it. No system is completely secure, and we cannot guarantee absolute security. Please keep your login details private.
9. Your Choices and Rights
You can ask to see, correct, or delete the personal information we hold about you. We may keep some information where the law or our legitimate program needs require it.
You can opt out of texts by replying STOP, and out of emails by using the unsubscribe link.
Students can change what we share with parents, emergency contacts, and partners by telling us.
Depending on where you live, you may have additional rights under state law. Contact us and we will work with you.
10. Children
The Services are not for children under 13, and we do not knowingly collect information from them. Students in the program are 18 or older. If you believe a child under 13 has given us information, contact us and we will delete it.
11. Third-Party Links
The Services may link to other websites or tools. We are not responsible for their privacy practices. Please read their policies.
12. Changes to This Policy
We may update this policy from time to time. When we do, we will change the “Last Updated” date above. If a change is significant, we will give you additional notice, such as by email or in the app.
